Job Description
The Office Assistant II provides basic support to a manager or supervisor as related to the day to day operations of the office or department. You’ll play an essential role in supporting our team and ensuring smooth operations across various departments. This is an exciting opportunity for a detail-oriented individual who thrives in a collaborative environment and is eager to make a meaningful impact. Provides comprehensive administrative support to a director, managing their calendar, handling email and mobile communication, preparing presentations, coordinating travel, and often taking on strategic tasks to ensure the director's smooth operation and efficient workflow. Duties include reception, filing, mail service, photocopying, fax, and other duties as required. Report to the administrative manager for daily updates, accomplishments, and any issues requiring attention
Qualifications
High School Diploma or GED required, Associates Degree preferred
0-1 years administrative or relevant experience
Responsibilities
Managing complex calendars and scheduling meetings
Preparing presentations and reports for the director
Coordinating travel arrangements
Handling incoming calls and emails, tracking deadlines and prioritizing important communications.
Maintaining confidential files and records
Researching information and preparing briefing materials
Assisting with special projects and initiative
Schedules and coordinates meetings and office activities. Assists with special events planning
Assist and provide technical support
Serves as an intermediary between supervisor and other departmental staff by transmitting written and oral requests, messages and instructions.
Assists in monitoring monthly expenditures. Informs supervisor of irregularities.
Makes travel arrangements and accommodations. Prepares travel reimbursements and expense reports.
Answers telephone, screens callers, relays messages and greets visitors.
Schedules and maintains calendar for meetings and/or appointments.
Reviews and revises brochures, announcements or other informational items regarding program and/or departmental operations. Drafts, edits and formats materials such as flyers, leaflets and letters.
Screens and prioritizes all incoming mail for needed action and follow up. Picks up and delivers materials as required.
Distributes mail requiring attention to appropriate individual(s)
Screens telephone calls, answers routine inquiries or refers caller to the appropriate individual for response.
Gathers, assembles and files documents and travel packets.
Prepares minutes of meetings, agendas, correspondence, statistical reports, tables and other documents. Transcribes dictation as needed.
Provide excellent customer service
Performs other related duties.

Compensation Statement
Mount Sinai Health System (MSHS) provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $17.5342 - $26.0451 Hourly. Actual salaries depend on a variety of factors, including experience, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
